KCPA AV Competition Rules

The Audio-Visual Competition

  • This is currently run by the KCPA and is a competition for individuals who are members of KCPA-affiliated clubs.
  • The Entry Form must be submitted to Philip Smithies and Tracy Hughes no later than 2nd October 2025.
  • AV Sequences must be submitted to Philip Smithies no later than 2ndOctober 2025.

  • The entrance fee is £17 for up to two entries and £10 for visitors/non-entrants. Fees must be paid by the closing date of 2nd October.

Competition Awards

  • Best AV (The Folkestone Town Council Trophy). 2nd & 3rd placed entrants will receive a certificate
  • Best Photography (Trophy donated by Maidstone Camera Club).
  • Best Transitions (Trophy donated by Jeff and Sylvia Wagner)
  • Best Sound (Trophy donated by Bob and Gill Brisley).
  • Best Sequence from a first-time entrant (Trophy donated by Bob Brisley)
  • Most Humorous Sequence (Trophy donated by Hailsham Photographic Society).
  • Most Creative Sequence (Trophy donated by Tonbridge Camera. Club)
  • Merit Award Certificates – Up to 5 may be awarded at the discretion of the Judge(s).
  • Audience Vote Certificate
  • An experienced judge, appointed by the KCPA, will decide the winners of the awards. This year, Dick Williams ARPS DPAGB/AV will be judging competition.

Rules

  • You may enter one or two sequences which must be new to the competition.
  • The choice of subjects is entirely open and there are no special categories
  • The AV Sequence must be the original work of the entrant(s).
  • The length of each must not exceed 10 minutes.
  • The sequences should ideally be in .mp4 format and at 60 fps for best quality
  • Resolution can be up to and including 1920 x 1200 but most will be in the HD format of 1920 x 1080.
  • The sequences will be played using “Videolan” media player software (or equivalent) on a digital projector with a resolution of 1920 x 1200px. If the size is smaller (such as 1024 x 768 or 1400 x 1050) then it will project smaller with a black background.
  • The sequence(s) must run with no additional software requirements, play with a double click and return to the window from which it was opened.
  • The use of third-party images, animated graphics, video clips or other visual material should be appropriate to the production.
  • Sequences generated by AI are not permitted.
  • Entries and application and other forms must be submitted electronically via such free software as MailBigFile https://free.mailbigfile.com/ or WeTransfer https://wetransfer.com (but NOT DropBox). Both of these are free to use.
  • It is the responsibility of the ENTRANT to obtain any required copyright clearance and to hold all appropriate copyright licences. The entrant is responsible for any claim by any third party in respect of his or her entry.
  • The author’s name must not appear anywhere in the sequence
  • The title and/or composer of the music must not be credited anywhere in the sequence
  • By submitting your entry(ies), you confirm that you have read and agreed to the above Rules in all respects.
  • The organisers reserve the right to refuse entry to sequences that they may consider, in their absolute discretion, to be undesirable, unsuitable or incorrectly programmed for projection at the event.

Data Protection

  • As with all KCPA Competitions, by submitting your entry form and your sequence(s) to the competition, you confirm that you have read and agree to the rules including this section concerning use of your personal data:
  • The KCPA collects and stores your contact details such as name, address and email address with the SOLE purpose of administering the competition including reproducing and displaying any stills from winning sequences. Such contact details are held in accordance with data protection laws. By providing this information you are consenting to letting the KCPA and/or the organisers of the competition contact you, store your data and administer the competition.
  • You have the right to request the deletion of the information that we hold.
